What should a rent receipt include?

A rent receipt is a written record that the tenant has paid. There is no single statutory form, but a good receipt always shows:

DetailWhy
Landlord’s name and addressSays who received the money. Tenants are entitled to an address in England and Wales where they can serve notices on the landlord.
Tenant’s name and the property addressTies the receipt to the right tenancy.
Period coveredThe month (or months) paid for.
Rent, any service charge, then the totalShows exactly what was paid and for what.
Payment method and dateHelps match the receipt to the bank record or the cash handed over.
Landlord’s signatureMakes the receipt the landlord’s own statement.

Full receipt or part-payment receipt?

A full receipt says the whole amount due for the period has been paid. If the tenant pays only part of it, give a receipt for the amount actually received and show the balance outstanding, so nobody can later read it as settling the rest. Tick “Part payment” and the generator does exactly that.

Frequently asked questions

Does a landlord have to give a rent receipt?

Not for every payment: a bank transfer already leaves a record. But a tenant who pays in cash should always get a written receipt, and a landlord should provide one on request. For weekly tenancies in England the landlord must also provide a rent book (Landlord and Tenant Act 1985).

What is the difference between a receipt and a part-payment receipt?

A receipt confirms that the full rent and charges for the period were paid. If only part was paid, the document records the amount received and the balance still owed. Tick “Part payment” to produce it.

Should the service charge appear separately?

If the tenancy includes a service charge or other regular charges, yes: a separate line keeps the record clear. When the amount is zero, the line is left out.

Can I send it by email or by link?

Yes. A private link avoids attaching the PDF to an email, and you can see when it has been opened. Your tenant does not need an account to open it.

How long should I keep receipts?

Claims to recover rent arrears can generally be brought within six years (Limitation Act 1980), so keep copies at least that long. For your tax return, HMRC asks landlords to keep records for five years after the 31 January filing deadline, so keep them for whichever is longer.

Does this work in Scotland and Northern Ireland?

The wording and notes are written for England and Wales. Scotland and Northern Ireland have their own tenancy rules, including on rent books, so check local guidance before relying on it.

Is my data sent anywhere?

No. The document is built in your browser. Nothing is transmitted to a server unless you choose to send it with DocBunker.

This generator is an aid: the document is indicative and should fit your situation. For specific cases (HMOs, commercial lettings, rent paid weekly), check GOV.UK, Shelter or a professional adviser.
